Organization Admins can now manage their users, as well as their license and/or role assignments in one streamlined process. This new feature replaces the previous Bulk Import functionality and expands the Admin capabilities for handling license assignments across many users at once.
To use this new feature, please follow the steps below:
-
- Login to IKE Access.
- Navigate to your Organization's Home page.
- Above the user table, click the button for "Bulk Manage Users" (see below).
- This will open the Bulk Manage pop-up window.
- Click the button to download the current state of users and licenses - the CSV export should download to your computer.
- Open the CSV file and make necessary edits to users, licenses, and/or roles.
-
- Admins will only be able to manage licenses for products that their company has already purchased. Available products will be clearly articulated in column headers in the CSV.
- Each row in the CSV will reflect the license assignments for the username specified in the "Email" column.
- For IKE Office Pro, each user can only be assigned one license, so the quantity will be either 1 for assigned or 0 for no license.
- For IKE PoleForeman, each user can be assigned more than one license if needed, so the quantity in the column can vary or be 0 for no license.
- For IKE PoleForeman Role (e.g. Database Admin, Software Admin, and Third Party Database Access), assignments are represented by TRUE or FALSE in the associated CSV columns.
- To Add New Users: enter the new email(s) on the first blank row in the CSV and populate the other columns accordingly. Note: The Name and Title fields are not required.
- To Edit Existing Users: for existing users, we recommend leaving their user details in place and only editing the columns associated with product licenses and/or roles.
- To Remove Users: delete the row associated with their user account from the CSV. This will remove the user(s) from the Organization and revoke any of their previous license assignments.
-
- Save the edited CSV to your computer - Tip: If you want to retain a record of user licensing before changes, change the file name of the updated CSV so it can be compared to the original download from IKE Access.
- In IKE Access, open the Bulk Manage Users module and use the "Choose File" button to upload the edited CSV - you can also drag and drop the file from your File Explorer.
- Click "Import" to update users and licenses.
-
-
-
- Important - The uploaded CSV file will replace all permission and license allocation data within IKE Access for your organization. If you upload an empty file it will clear all associated user data in IKE Access. For this reason it's recommended to keep a copy of the original file as explained in Step 7.
-
-
Following Import of the updated CSV, changes to users and/or licenses should be instantly reflected in IKE Access. If new licenses were assigned or existing licenses were revoked, these changes go into effect immediately for those user accounts.
